About the Role

Line of Responsibility The role will be line managed by the Director of Operations Job Purpose To provide a high level, professional administrative support to the Trust Central Executive, including the CEO, Director of Operations and Director of People, to enable them to operate effectively in their roles.

What skills and experience we're looking for

Key Responsibilities General Administrative duties • To proactively support the Executive team, as directed by the Director of Operations (DOO), with the management of their workload and to provide all necessary support so that they are best able to provide strategic whole-Trust leadership. • To provide comprehensive general administrative support including diary management, meeting preparation, attending and minuting meetings as required, recording actions and tracking for follow up. • To ensure all staff or external queries are forwarded to Trust Executive staff as applicable so that they are responded to in a timely fashion. • To ensure that all work undertaken within the Trust Executive office complies with the General Data Protection Regulations (GDPR). • To attend training sessions as required • To be responsible for the effective management of budgets within the post holder’s remit • To keep up to date with developments and changes in legislation and guidance, and communicate appropriate information to colleagues • To assist in such duties and activities relating to any of the above areas appropriate to grade as the DOO shall from time to time reasonably require. Business Operations • To assist the Director of Operations with the delivery of Trust wide operational projects as required. • To collate and ensure Trust records are up to date in relation to operational items using appropriate systems, including Compliance, Health & Safety and Contracts Marketing & Communications • To manage and update Trust internal staff communication data bases. • To update content on ‘Your Charter’ staff portal as directed • To update the Trust Website content as directed • To support the organisation of Trust events including executive team breakfasts, summer Conference and Welcome to the Trust events • To attend Trust events as required to support the Executive Team.

The above responsibilities are subject to the general duties and responsibilities contained in the written statement of conditions of employment (the Contract of Employment). The post holder is required to support and encourage the Trust’s ethos and its objectives, policies and procedures as agreed by the Trust Board. They shall be subject to all relevant statutory and institutional requirements. The post holder may be required to perform any other reasonable tasks after consultation. This job description allocates duties and responsibilities but does not direct the particular amount of time to be spent on carrying them out and no part of it may be so constructed.
